Cancellation and Refund Policy for We Guide Africa Safaris
We understand that going on a Tanzania wildlife safari can be a once-in-a-lifetime adventure for many people. However, these experiences often require a significant investment, including airfare, tour costs, accommodation, and travel insurance, which can make them more costly than other popular vacation options.
This is why cancellation and refund policies are crucial. There is always the possibility that something may arise, necessitating a cancellation or urgent postponement of your tour.
Why Full Refunds Are Not Always Possible
Many travelers often wonder why a full refund isn’t feasible if the tour hasn’t taken place yet. We genuinely wish we could accommodate every request for a full refund when plans change unexpectedly. It’s difficult for our team to say “no” to those we’ve guided through the planning process and whose excitement we share.
However, it’s important to understand that We Guide Africa Safaris is just one part of a larger network of organizations involved in making your safari happen. We commit to paying various service providers long before you arrive in Tanzania. These include:
- Accommodation Providers: Lodges and camps that require advance bookings and deposits.
- Transportation Services: Vehicle rentals and drivers arranged for your safari.
- Guides and Local Experts: Skilled guides who are prepared for your adventure in advance.
- Permits and Park Fees: Necessary permits and fees paid ahead of time to access parks and reserves.
Lifetime Deposits for We Guide Africa Safaris
Instead of canceling your tour altogether, we offer the option to hold your deposit indefinitely. You can use this deposit for any future trip with We Guide Africa Safaris. Please note that prices may increase over time—if park authorities raise fees or the costs of essential trip supplies rise, you will be responsible for paying the difference at the time of your new booking.
Rescheduling Your Safari
If you decide to reschedule your safari instead of canceling, our partner lodges and airlines are often more flexible. They may allow for a no-penalty deferral or reduce cancellation charges. If a no-penalty deferral is possible, we will do our utmost to reschedule your entire tour to new dates without changes. However, this decision is at the sole discretion of the lodges and airlines involved in your booking, which may impose penalties regardless of the circumstances.
Peak Season Considerations
Please be aware that canceling your safari during peak seasons (mid-December to mid-March and early July to mid-October) may result in significant cancellation penalties for accommodations and local air travel. While this doesn’t mean the entire cost of your tour will be forfeited, these charges can amount to 50-80% of your total trip cost due to the substantial nature of these components. Any remaining balance will be transferred to your account for future use.
Importance of Travel Insurance
We highly recommend obtaining travel insurance with coverage that includes trip cancellation. In the event of unforeseen circumstances, such as illness or flight cancellations, you can claim financial losses from your insurance provider. We will provide all necessary documentation to support your claim for incurred expenses.
